The most effective approach to automating the Enterprise Project Management system is to train all project managers at an "In House" seminar where instruction will be given using the corporate Web Site and corporate software. Project Server can also be used effectively by individual Project Managers who are using MS Project Professional as their tool.
HOW IT WORKS
Only Project Managers are required to be using MS Project Professional
Team Members and Senior Management do not need MS Project. They only need to know how to access and use Project Server . Training of Team Members and Senior Management can be accomplished in three or four hours.
One person, who has been trained in the use of MS Project Professional is appointed as Administrator. The Administrator controls all authentication requirements to maintain the security of project information. All users are authorized to view and update only those items which the corporation wishes them to use for project communications.
Team members send their timesheets to the Project Server with the click of a button.
This system enables Project Managers to automatically update their project files as frequently as they wish. The Project Manager logs onto Project Server and information from team members is automatically loaded into the project file with the click of a button. This enables Project Managers to spend time viewing project data, using various scenarios, to make decisions which are based on up to date information.
METHODOLOGY
Two Seminar presenters will lead the process of
learning good project communications principles and techniques. Project
Communications will be discussed step by step in the sequence of events usually
encountered by project managers when initiating a project. Each section of the
Seminar will be followed by a work session where participants are given project
team member identities for purposes of role playing while developing portions of
a project model. The simulated project team members and the project manager will
use Project Server as a communications tool to send and receive assignments
and to prepare their timesheets and submit updated reports on project progress.
For "In House" seminars, it will be necessary to have a corporate training room where computers are connected to the corporate intranet. For a public seminar, participants will require a laptop computer which is equipped to
connect to a high speed internet connection. Practice sessions will include work
on Project Server, using the internet as the communications tool.
